Top 5 Tips for Implementing SAP SuccessFactors Learning

For any clients with an upcoming SAP SuccessFactors learning implementation, grab a cup of tea, get your thinking caps on and let me outline my top 5 key areas to start thinking about:

1. What is and isn’t training? – Start to think about what should and shouldn’t live within the learning management system (LMS) in the early stages of the project. Will this be a learning system used to track training history or will this be a system to store academic qualifications? It’s very important this is addressed early. Start drawing the line between “good” and “bad” data, as your LMS can be easily filled with “junk” data.

2. System terminology – Getting the system terminology right is always important, as this will impact the entire business. Changing the label of a field, for example, from “Supervisor” to “Manager” would be OK as this is only a field-level change. Instead I am referring to changing something specific to SuccessFactors, like “Scheduled Offering” to “Bookings” or “Curriculum’s” to “Development Programmes.” SuccessFactors has 4 quarterly release updates in which they communicate the new or enhanced functionality that has been released, for example “You are now able to send an outlook calendar invite once a learner has been enrolled into a scheduled offering.”  By replacing all the SuccessFactors learning terminology with your old terminology, this could make life difficult when trying to understand what the update is referring to – you will still be fighting this battle months down the line. Be ready to adapt and learn the new terminology!

3. Security – Start to think about what your security model should look like. How will the system be administrated? Will there be one ‘super’ admin and several departmental admins? Will this be distributed or centralized? Keep your security model as simple as possible, as having an overly complex security model would result in large amounts of maintenance for the system administrators in the future. Try and work towards a centralised security model and keep it simple!

4. Get your hands dirty! – In projects, we have iteration playback. This is when the design stage of the project has been finished and the implementation consultant builds and then plays the system back to you. These are usually spread out across 3 sessions in which you are expected to review your system as per the design and provide feedback. Depending on the scope of the project and how much of the system has been built, give your designated super users and project team members some hands-on experience at the end of each iteration. Not only will this provide instant feedback on the design, but it will also help the project team to translate their day to day activities within the system and make sure all the key processes have been captured in the system. This will also increase the knowledge of the project team and give the test script writers more time to come up with constructive and relevant testing scenarios.

5. Data Migration – Always bring up data migration preparation as early as you can with the implementation partner/consultant. Getting the data into the correct format for upload is a time-consuming process. This is the more challenging part of the project for the business, specifically for a learning implementation. Try to find an implementation partner/consultant willing to assist with formatting your data into the correct format.
